5A. Public Profile & Social Features
SingArena is a social platform. By creating an account, certain information about you is publicly visible to other users of the Platform:
- Always public: Your username (nickname), avatar, and karaoke activity (scores, rankings, recordings shared publicly).
- Discoverable by others: Other users can find your profile through search, friend suggestions, leaderboards, and the Explore section.
- Social interactions: Messaging, friend requests, group chats, challenges, and community posts (GoRefuge) are core features of the Platform. Other users may send you friend requests, messages, and challenge invitations.
- Activity visibility: Your listening activity, recently played songs, and performance history may be visible on your profile and in your friends' activity feeds, subject to your privacy settings.
You can manage certain visibility settings in your profile preferences. However, your username and avatar are always visible as they are essential for the social functionality of the Platform.
5A.1 Three-Tier Visibility Control for Sensitive Fields
Sensitive profile fields (date of birth, country, contact details, real first and last name) feature a three-tier visibility control: Public (visible to everyone), Friends only (visible only to users with an accepted friendship relationship) or Private (visible only to the account owner). New fields default to the most restrictive setting in line with the privacy by default principle (GDPR art. 25). Settings can be changed at any time under Profile → Settings → Privacy.
5A.2 Presence Status
The Platform displays user presence status (online / away / offline) to support messaging, gaming invitations and voice calls. Status is visible to authenticated users (and to friends on the friends list). It expires automatically after a period of inactivity. Status is not archived historically.
5A.3 Completing Your Real Name After Login
For accounts created before the introduction of first-and-last-name validation (or via Google OAuth without these fields), the Platform may display a one-time prompt asking you to complete this information. Providing it is optional (a "Later" button defers the request). Purpose: improving friend discoverability. Legal basis: GDPR art. 6(1)(b) (performance of contract — social features).
5A.4 Wallpapers and Home Screen Personalization
User-uploaded home screen wallpapers and personalization files (tile layout, equalizer profiles, theme, language, visualizer mode) are stored in a private Cloudflare R2 bucket or in your device's local storage. They are visible only to the account owner and are not shared with other users or advertising providers.
5B. Email Communication and Marketing
We send the following categories of emails from the mail.singarena.com domain:
- Transactional emails (always, essential to the service): account confirmation, email verification, password reset, Stripe receipts, account deletion notifications, important security announcements. Legal basis: GDPR art. 6(1)(b) (performance of contract).
- Reactivation emails and reminders (opt-out): for inactive accounts — return incentives, unfinished registration reminders. Legal basis: GDPR art. 6(1)(f) (legitimate interest — maintaining an active user base).
- Marketing emails and product news (opt-out): new features, blog content, Premium offers, seasonal challenge invitations. Legal basis: GDPR art. 6(1)(a) (consent) or GDPR art. 6(1)(f) combined with applicable e-commerce regulations.
Every non-transactional email contains an "Unsubscribe" link and a one-click List-Unsubscribe header in line with the 2024 Gmail/Yahoo bulk-sender requirements. Suppression lists are retained indefinitely to prevent delivery to addresses that have opted out.
6. Data Sharing and Disclosure
We do not sell your personal data. We may share your data in the following circumstances:
- Service Providers: We share data with trusted third-party service providers (processors) that act on our instructions, including: Supabase (database, authentication, server functions and audio file storage, hosted on Amazon Web Services in the us-east-1 region, United States); Cloudflare (website hosting via Cloudflare Pages, content delivery, Cloudflare R2 for media and file storage, and Cloudflare Workers for resumable uploads, audio fingerprinting, and speech recognition for pronunciation exercises and live captions); email delivery service (Resend, for transactional and authentication emails via mail.singarena.com); payment processor (Stripe, for web payments, when payments are enabled); Google (AdMob and AdSense advertising and Google's consent management platform, Firebase Cloud Messaging for push notifications, Google Analytics 4 for aggregated usage statistics, only after you accept analytics cookies, Google Safe Browsing to check links shared in posts, the YouTube Data API and embedded YouTube players, Google Play Billing, and Sign in with Google); Apple (Sign in with Apple, App Store purchase verification, and the Apple Push Notification service for incoming calls); product analytics (PostHog, hosted in the EU, used only after you accept analytics cookies, including session recording with masked input fields); error monitoring (Sentry, for crash and error reports only, without screen or session recording); real-time audio and video (LiveKit, for lessons, Squad voice channels and group sessions, including lesson recordings when participants consent); audio transcoding service (CloudConvert, for converting uploaded audio files to compressed formats for streaming delivery — audio files are processed and returned without long-term storage by the provider); TURN relay service (Metered.ca, for facilitating WebRTC voice and video calls when direct peer-to-peer connection is not possible — connection metadata is processed transiently); copyright screening (ACRCloud, short audio samples of uploaded tracks); AI service providers (DeepSeek for text generation, translation and text moderation; OpenAI for image moderation and article search; Runware for image generation; ElevenLabs for speech-to-text lyrics transcription and text-to-speech narration; Replicate for vocal separation of uploaded songs and School backing tracks — user-submitted content may be sent for processing where applicable); IP-based approximate location (ipwho.is in your browser and ipapi.co on our servers, used only to suggest nearby radio stations and country charts); and content delivery networks. We also retrieve public metadata from music and content services (such as Last.fm, MusicBrainz, fanart.tv, Wikimedia, LRCLIB, Unsplash, Radio Browser and news APIs); we do not send them your account data, although your browser discloses technical data such as its IP address when it loads content from them directly. These providers are bound by contractual obligations to protect your data.
- Legal Requirements: We may disclose your data if required to do so by law or in response to valid requests by public authorities, including courts, law enforcement agencies, or regulatory bodies.
- Platform Features: Certain data, such as display names, profile images, karaoke recordings, scores, rankings, online status, and activity feed entries, may be visible to other Users as part of the Platform's social and competitive features, subject to your privacy settings.
- Business Transfers: In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your personal data may be transferred as part of such transaction.
7. Data Retention
We retain your personal data for as long as your account is active or as needed to provide you with the Platform's services. Specific retention periods include:
- Account data: Retained for the duration of your account. After a deletion request, data is retained for three (3) days during the grace period, after which it is permanently deleted.
- Unconfirmed accounts: If you do not verify your email address within thirty (30) days of registration, your account and all associated data are automatically and permanently deleted, allowing the chosen username to be reused.
- Karaoke recordings: Retained for the duration of your account unless individually deleted by you.
- Chat messages: Retained for the duration of both participants' accounts. Messages are deleted when both accounts are deleted.
- Legal agreement records: Retained for a minimum of seven (7) years for legal compliance purposes.
- Previously submitted records: Identity, consent, rights-verification, contract, tax and financial records already held are retained only where needed to handle legal claims or comply with applicable law. Access remains restricted; you may request access, correction or erasure under Section 8.
- Usage logs and IP addresses: Retained for up to twelve (12) months for security and analytics purposes.
- Payment records: Retained for the period required by applicable tax and financial regulations.
- Reports, strikes, and bans: Retained for the duration necessary for moderation and enforcement purposes.
- Email suppression lists: Retained indefinitely to prevent delivery to unsubscribed or bounced addresses.
After the applicable retention period, data is securely deleted or anonymized so that it can no longer be associated with you.
8. Your Rights
Under applicable data protection laws, including the GDPR, you have the following rights:
- Right of Access (Art. 15 GDPR): You have the right to request a copy of the personal data we hold about you.
- Right to Rectification (Art. 16 GDPR): You have the right to request correction of inaccurate or incomplete personal data.
- Right to Erasure (Art. 17 GDPR): You have the right to request deletion of your personal data, subject to legal retention obligations. You can initiate account deletion through the account settings, which triggers a three-day grace period before permanent deletion.
- Right to Restriction of Processing (Art. 18 GDPR): You have the right to request restriction of processing of your personal data under certain circumstances.
- Right to Data Portability (Art. 20 GDPR): You have the right to receive your personal data in a structured, commonly used, and machine-readable format.
- Right to Object (Art. 21 GDPR): You have the right to object to processing of your personal data based on legitimate interests, including advertising.
- Right to Withdraw Consent: Where processing is based on consent, you have the right to withdraw consent at any time without affecting the lawfulness of processing carried out prior to withdrawal.
- Right to Lodge a Complaint: You have the right to lodge a complaint with a supervisory authority in your jurisdiction.
To exercise any of these rights, please contact us at: info@singarena.com.
9. Data Security and Access Control
We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. These measures include, but are not limited to: encryption of data in transit (TLS/SSL); secure password hashing; Row-Level Security (RLS) policies enforced at the database level ensuring users can only access their own data; a dedicated user_roles table with a strict app_role enum (admin, moderator, user) and a SECURITY DEFINER server-side has_role() function used to authorize sensitive operations — privilege checks are never performed on the client to prevent escalation; isolation of sensitive personal fields from the publicly readable profile view; multi-factor session validation; access controls and authentication mechanisms; automated copyright screening (ACRCloud) with a zero-tolerance block-on-match policy; AI-powered content moderation (text and image) operating on a fail-closed principle; regular security assessments; and monitoring for unauthorized access. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
9.1. Communications Encryption (Chat & Calls)
Voice and video calls (1:1, Stage, Hangouts) use the WebRTC protocol with mandatory media encryption via SRTP (AES-128) and signalling encryption via DTLS. Call content is encrypted between participants — even when traffic is relayed through our TURN server (Metered.ca) or SFU (LiveKit), the relay operator cannot decrypt audio or video streams. In practice this provides end-to-end (E2EE) protection for 1:1 calls.
Text messages (DMs, group chats, squads, comments) and attachments (images, voice notes) are encrypted in transit (TLS 1.2/1.3) between your device, our backend, and our media storage (Cloudflare R2). On the server, messages are stored in plaintext (we do not provide end-to-end encryption for text messages). Access is restricted by RLS policies — only conversation participants can read a message. We do not read private messages; content may only be processed automatically for: (a) on-demand translation requested by the user (DeepSeek, with PII protection), (b) moderation of content reported to Trust & Safety, (c) compliance with legal obligations (e.g. valid law-enforcement orders).
You can delete your own messages at any time in 1:1 chat (long-press the message → "Delete"). Deletion is irreversible and removes the record from the database. To permanently remove your full message history together with your account, use the account deletion option in Settings.
10. International Data Transfers
Our primary infrastructure (database, authentication, server functions and audio storage) is operated by Supabase on Amazon Web Services in the United States (us-east-1, Northern Virginia), and SingArena is operated by a United States company. Your personal data is therefore processed in the United States and may also be processed in other countries, including by service providers such as Cloudflare (hosting, content delivery and storage), Stripe (payment processing), Google (advertising, push notifications, analytics, sign-in and app-store billing), Apple (sign-in, purchases and push notifications), PostHog (product analytics, EU), Sentry (error monitoring), LiveKit (real-time audio and video), ACRCloud (audio recognition), CloudConvert (audio transcoding), Metered.ca (WebRTC TURN relay), Resend (email delivery), DeepSeek (text generation, translation and moderation), OpenAI (image moderation), Runware (image generation), ElevenLabs (speech-to-text and text-to-speech), and Replicate (audio processing). Where such transfers occur, we ensure that appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) approved by the European Commission or other mechanisms recognized under applicable data protection laws, to ensure an adequate level of protection for your personal data.
11. Children's Privacy
The Platform is not directed to children under the age of thirteen (13). We do not knowingly collect personal data from children under thirteen. The registration process requires users to provide their date of birth, and accounts cannot be created for individuals under the age of thirteen. If we become aware that we have collected personal data from a child under thirteen without verification of parental consent, we will take steps to delete such data promptly.
Where data of minors is processed. If you are under 18, your data is handled in the same places as everyone else's. In plain terms: your account, profile, messages and recordings are stored in the United States (Supabase on Amazon Web Services, us-east-1 region). Some features also send data to AI services: messages you ask us to translate, your voice in pronunciation exercises (speech recognition), and content checked by our automatic moderation. These services may process the data in the United States or other countries. Section 10 describes how we protect these transfers.
12. YouTube Embedded Content
SingArena uses the YouTube IFrame Player API to embed and play music videos directly within the Platform. When you play a YouTube video on SingArena, Google (YouTube) may collect data about your interaction, including your IP address, device information, video viewing history, and cookies. This data is collected and processed by Google in accordance with the Google Privacy Policy.
By using SingArena, you agree to be bound by the YouTube Terms of Service. YouTube content is provided by YouTube, LLC, a subsidiary of Google LLC. SingArena does not host, store, or redistribute YouTube video content — all video playback is streamed directly from YouTube's servers via the official embedded player.
YouTube may use cookies and similar technologies to personalize content and ads shown during video playback. You can manage your Google ad preferences at Google Ads Settings.
13. Google AdSense Advertising
SingArena displays advertisements to users on the Free Plan through Google AdSense. Google AdSense uses cookies and web beacons to serve ads based on your prior visits to our Platform and other websites. Google may collect and use data including your IP address, browser type, device information, and browsing activity to provide personalized advertisements.
You can opt out of personalized advertising by visiting Google Ads Settings or by visiting aboutads.info. Premium subscribers do not see advertisements.
For more information about how Google uses data from sites that use their services, please visit Google's Partner Sites Policy.
14. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to operate and improve the Platform. For detailed information about our use of cookies, please refer to our Cookies Policy.
- PostHog (product analytics). Starts only after you accept analytics cookies. It may record how you use the site (session recording), but everything you type into input fields is masked, and so are passwords, e-mail addresses, chat messages and voice recordings. Recording is switched off on message, sign-in, settings and lesson pages. Before you accept, nothing is sent to PostHog.
- Google Analytics 4. Starts only after you accept analytics cookies. Before that, no Google Analytics script is loaded and no _ga cookies are set. If you later decline, collection stops and the _ga cookies are removed.
- Sentry (error reports). Sends only technical error reports (for example, which function failed and on what browser). It does not record your screen or your session.
- Country from your IP address. ipwho.is (in your browser) and ipapi.co (on our servers) receive your IP address to work out your country, so we can suggest local radio stations and country charts.
14a. Google Play & Android Mobile Application
Our Android application is distributed via the Google Play Store and is built using the Capacitor framework as a wrapper around our web application. This section provides additional disclosures required by Google Play's User Data Policy and the Data Safety form.
14a.1 Data Collected by the Mobile App
The Android app collects and processes the same categories of personal data described in Section 3 of this Policy, plus the following mobile-specific data:
- Device identifiers: Android Advertising ID (AAID, only for Free Plan ad personalization), device model, OS version, app version, language and region settings.
- Approximate location: Derived from IP address only; we do not request GPS or precise location permission.
- Crash logs and diagnostics: Stack traces and performance metrics collected via Sentry, used solely to diagnose stability issues.
- Push notification tokens: Firebase Cloud Messaging (FCM) registration tokens, used only to deliver in-app notifications you have opted into (incoming calls, friend requests, messages).
- Microphone audio: Captured locally during karaoke recording and voice rooms; transmitted in real time via WebRTC for live sessions, or uploaded to our servers (Cloudflare R2) only when you explicitly save a recording.
- Camera & photo library: Accessed only when you explicitly choose to upload an avatar, post image, or attach a photo; we do not access camera or photo library in the background.
14a.2 Android Permissions Requested
The app requests the following Android runtime permissions, each tied to a specific user-facing feature:
RECORD_AUDIO&MODIFY_AUDIO_SETTINGS— karaoke recording, voice rooms, 1:1 voice calls.CAMERA— taking profile pictures and attaching photos to chat or posts (used only on user action).READ_MEDIA_IMAGES,READ_MEDIA_VIDEO,READ_MEDIA_AUDIO(Android 13+) — selecting avatar, cover art, or media to share.POST_NOTIFICATIONS(Android 13+) — delivering push notifications you have enabled.INTERNET,ACCESS_NETWORK_STATE,ACCESS_WIFI_STATE— basic connectivity, required for the app to function.FOREGROUND_SERVICE,FOREGROUND_SERVICE_MICROPHONE,WAKE_LOCK— keeping voice/karaoke calls alive in the background.BLUETOOTH,BLUETOOTH_CONNECT— using a Bluetooth headset or microphone during calls/karaoke.VIBRATE— incoming-call vibration.
We do not request: precise location (GPS), contacts, SMS, call log, calendar, body sensors, or any background location access. You may revoke any permission at any time in Android Settings → Apps → SingArena → Permissions; the related feature will then be disabled.
14a.3 Google Play Data Safety Disclosures
For the Google Play Data Safety form we declare:
- Data is encrypted in transit using TLS 1.2/1.3.
- You can request deletion of your data in-app (Settings → Account → Delete Account) or via singarena.com/account-delete, in line with Google Play's account deletion requirements.
- Data is not sold to third parties.
- Independent security review: We follow OWASP MASVS guidelines and apply the Supabase security model with row-level security on all user data.
- Data sharing: Limited to the processors listed in Section 6 of this Policy (including Supabase, Cloudflare, Stripe, Resend, Sentry, PostHog, Google AdMob/AdSense, Google Analytics, Firebase Cloud Messaging, LiveKit, Metered.ca, ACRCloud, ElevenLabs, LRCLIB, DeepSeek, OpenAI, Runware, Replicate, CloudConvert).
14a.4 Children & Google Play Families
SingArena is not directed to children under 13 and is not enrolled in the Google Play Families program. Our Play Store target audience is users aged 13 and over (with parental consent where required by local law, e.g. 16 in parts of the EU under GDPR Art. 8). The app contains user-generated audio and text content; explicit songs are flagged with the is_explicit metadata and may be filtered. Ads served on the Free Plan via Google AdSense are not targeted to children.
14a.5 In-App Subscriptions on Google Play
If you purchase the Premium subscription via Google Play Billing, the transaction is processed by Google and is subject to the Google Play Terms of Service. SingArena receives only the order confirmation needed to unlock Premium on your account; we do not see your payment card data. Cancel or manage subscriptions in the Google Play app: Profile → Payments & subscriptions → Subscriptions.
14b. Recent Feature Updates (May 2026)
The following features have been added or expanded since the previous version of this Policy:
- Stories & Vibe Cards: 9:16 ephemeral content with a 24-hour lifecycle, auto-deleted by a scheduled cleanup job. Limited to 5 active Stories per user. Vibe Cards are auto-generated from karaoke results. Audio fragments (15 seconds) may be attached from the SingArena catalog and are looped during playback.
- Reels: Vertical 15-second videos uploaded or recorded with the device camera; visible in the Stage Hub feed.
- Profile Photo Gallery: Up to 10 photos per user stored in a dedicated Cloudflare R2 path scoped to the user ID. Photos are visible in line with the profile's privacy settings.
- Highlight Reel Generator: Karaoke performances scoring ≥70 may be turned into a 15-second vertical Reel using canvas + MediaRecorder; the source audio is reused from existing R2 storage and no new audio is uploaded.
- Audio Calibration: An optional latency offset (audio_offset_ms, range -500 to +500 ms) stored in your profile compensates for Bluetooth/AirPods delay during karaoke. The 4-beep tap wizard runs locally and does not transmit audio.
- Soundcheck: A 5-second microphone check before Duels and Battles measures volume only (RMS), is never recorded and is cached locally for 30 minutes (no server-side storage).
- Daily Streak, Weekly Quests, Song of the Day, Achievements showcase: Gamification systems tracking activity to award XP, badges and bonus karaoke sessions. Aggregate progress is stored on the user profile.
- Suggested Friends Onboarding: A one-time post-signup modal shows up to 8 suggested users via the
get_suggested_users_v2server-side function; a flag is stored on the profile to prevent re-display. - Automatic Avatar Assignment: If you do not select an avatar during sign-up, SingArena automatically assigns a random avatar from the built-in 50-avatar library so that your profile has a default visual identity. You can change it at any time in your profile settings. We never use your photographs or biometric data for this purpose.
- Link Previews: URLs shared in GoRefuge posts are scraped server-side for Open Graph metadata (title, description, image) and the result is cached for 7 days in the
link_previewstable. Previews are not generated for private chat or Squad messages. - Name Visibility (Facebook-style): A
name_visibilitysetting on your profile (default: public) controls whether your real first/last name is shown in the public profile view. You can change it at any time under Profile → Privacy Settings. - Post Viewers (GoRefuge): When you view a GoRefuge post while signed in, your user ID and timestamp are recorded in
gorefuge_post_views. The post author can see a list of signed-in viewers (avatar, nickname, timestamp). Other users only see an aggregate counter. You can opt out at Profile → Privacy Settings → "Hide me from post viewers". Individual viewer records are automatically deleted after 90 days; the public counter is unaffected. Legal basis: legitimate interest (Art. 6(1)(f) GDPR) — providing standard social-network analytics to authors. - Pre-launch Mode: Until the operator legal entity is fully registered, paid plans are hidden in the user interface and all users are treated as Premium for feature-access purposes. No real payment is processed during this period.
The legal bases listed in Section 4 apply to these features. No new categories of processors have been introduced beyond those listed in Section 6.
14c. Recent Feature Updates (May 20, 2026)
Since the previous revision of this Policy, the following functionality has been added or expanded. No new categories of processors have been introduced beyond those listed in Section 6, except where expressly noted below.
- Real-time Lyrics Translation (Premium): A toggle in the karaoke overlay sends the original lyrics line to our text-processing sub-processor (DeepSeek, listed in Section 6) for on-the-fly translation. Translations are cached in
lyrics_translationsto avoid repeated requests. The lyrics text itself contains no personal data; no user identifier is transmitted with the request. Legal basis: contract performance (Art. 6(1)(b) GDPR) for Premium feature delivery. - Monthly Singing Report (Premium): On the 1st of each month at 09:00 UTC, a server job (
generate-monthly-report) computes your aggregate karaoke statistics (sessions count, total XP, top genres, score progression) and delivers them via e-mail (templatemonthly-report) and an in-app system DM. A snapshot is stored inmonthly_singing_reports. You can opt out by disabling email notifications in Settings → Notifications. - Chat Themes: Per-conversation visual themes (12 presets, 8 of which are Premium-only). Theme choices are stored either in
dm_chat_themes(private 1:1 preference) or infriend_groups.chat_theme(Squad-wide). No content of messages is involved. - Friend Activity Feed: A mobile-only feed (
get_friend_activity_feed) surfaces friends' karaoke results and earned badges from the last 14 days. The data shown is the same data already publicly visible on each friend's profile. - Squad Insights, Events, Stage Channels, Boosts, Milestones, Inactivity pruning: Squad-management features (analytics for managers, RSVP events with 15-min push/email reminders, stage rooms up to 50 listeners with raise-hand, weekly boost, automatic member milestone announcements, configurable inactivity pruning 14–365 days with optional re-engagement push). All data is scoped to the relevant Squad and processed under legitimate interest (running the community service) or contract performance for Premium boosts.
- Public Catalog Disputes: Any visitor may submit a structured ownership dispute about a published track at
/dispute/:songSlug(RPCsubmit_catalog_dispute, rate-limited). The complainant's e-mail is stored solely to process the dispute. - DMCA Designated Agent: SingArena (operated by TC Szabla LLC) is registered with the U.S. Copyright Office as a Designated DMCA Agent under registration number DMCA-1072458. Notices may continue to be submitted via the public form at /dmca-report; complainant IP addresses are stored as salted SHA-256 hashes to mitigate abuse while preserving the ability to detect repeat offenders.
- AdMob (mobile apps only): On the Android Capacitor build and the iOS build, advertising for Free-Plan users is served via Google AdMob (Banner, Interstitial, Rewarded-Interstitial). On iOS, advertising identifiers are governed by SKAdNetwork and Apple's App Tracking Transparency framework; you will see a system prompt before any cross-app tracking. Karaoke, audio playback and YouTube screens are excluded from ads. Premium subscribers see no ads on any platform.
The legal bases listed in Section 4 apply to these features. The only new sub-processor that may receive content as a result of these updates is DeepSeek (for Premium lyrics translation), which is already listed in Section 6.
14d. Recent Privacy Updates (June 17, 2026)
The following processing operations have been clarified or added since the previous revision. No new sub-processors beyond those listed in Section 6 are introduced, except where expressly noted.
- Regional pricing and tax (Stripe Tax). Your billing country — derived from the Stripe customer billing address or the
cf-ipcountryheader at checkout — is used to determine the regional Premium price and to calculate VAT/GST/sales tax. We store thebilling_countryandbilling_currencywith your subscription record for tax-evidentiary purposes. Legal basis: contract performance (Art. 6(1)(b) GDPR) and legal obligation (Art. 6(1)(c) GDPR). - AdMob (mobile) advertising identifier. On Android and iOS builds, Free-tier users may see ads served via Google AdMob. AdMob may collect the Android Advertising ID (AAID) on Android (subject to the “AD_ID” permission and Google’s User Messaging Platform consent dialog) and use SKAdNetwork on iOS (subject to Apple’s App Tracking Transparency prompt). The AAID/IDFA is a pseudonymous identifier that you can reset or disable in your device settings. AdSense (web) cookies are described separately in the Cookies Policy; AdMob does not use browser cookies.
- Image EXIF stripping. Photos uploaded to your Profile Photo Gallery, Stories, Reels, and posts are processed client-side by our Canvas-based compressor (max 1920 px, WebP/JPEG output), which discards EXIF metadata, including any GPS coordinates, before the file leaves your device. We do not receive your photo’s location.
- Statement of Reasons (DSA Art. 17). When we remove, restrict, demote, or de-rank your content, you will receive a Statement of Reasons explaining the ground of the action, its scope, the facts relied on, the use of automated means (if any), and the available redress channels. The Statement is delivered in-app and, where required, also by e-mail. Legal basis: legal obligation (Art. 6(1)(c) GDPR).
- AI-generated content labelling (EU AI Act preparation). AI-generated cover artwork and any other AI-generated visual content will be marked with machine-readable provenance signals in line with EU AI Act Art. 50 (effective 2 August 2026). No additional personal data is processed as a result.
- Notification opt-outs. Squad re-engagement push, Squad event reminders, monthly singing report (Premium), Song of the Day push, and friend-activity push can all be disabled in Settings → Notifications. Legal basis: legitimate interest (Art. 6(1)(f) GDPR) balanced with your right to object (Art. 21 GDPR) and PECR/ePrivacy where applicable.
- Date update. The Last Updated and Effective Date have been refreshed to reflect the items above.
14e. School Module (formerly "Coach"): Lessons, Workshops and Teaching Materials
The School module (shown in the app as "School", previously "Coach") lets users act as teachers ("Coaches") or learners ("Students") across a wide range of subjects — music and performance, foreign languages, school and academic subjects (for example mathematics, physics, chemistry, biology, computer science, history), visual and creative arts, and general life skills. Participation is optional and requires a separate role application. When you use the Coach module we process the following additional data:
- Coach profile data: teaching categories and instruments, experience description, languages, availability calendar, pricing entries (labels, descriptions, session counts, amounts), public profile slug, introduction video (uploaded file or a YouTube link you provide), verification status and administrator review notes.
- Student profile data: learning goals, chosen categories, skill level, preferred lesson language, discoverability setting for the student marketplace, and (for minors) guardian linkage.
- Lesson data: booking requests and their status (pending, confirmed, cancelled, completed, expired, late cancellation), scheduled start and end time, cancellation notices, lesson notes, homework assignments and submissions, practice logs, progress markers and scores.
- Real-time lesson sessions: 1:1 lessons and group workshops run over LiveKit (WebRTC). We process technical session metadata such as room identifier, participant identity token, join/leave timestamps, connection quality events, and whether audio, video or screen sharing was enabled. Live audio and video streams are transmitted in real time and are not stored unless recording is explicitly enabled (see below).
- Lesson recordings: where a lesson is recorded, the recording, its markers, notes and any automated scoring are stored in a private Cloudflare R2 bucket and are accessible only via short-lived signed links issued to the participants of that lesson (and, for a minor, their linked guardian).
- Teaching materials: files uploaded by a Coach (sheet music, chords, exercises, PDFs, images, audio, up to 50 MB per file) and YouTube links, together with the visibility setting chosen by the Coach (private, all students, or selected students) and the resulting share records.
- Workshops: enrolment records, waiting-list position, attendance and cancellation history for group sessions.
Legal basis. Delivery of lessons, workshops, materials and recordings is processed on the basis of contractual necessity (Art. 6(1)(b) GDPR). Recording of a lesson is based on the consent of the participants (Art. 6(1)(a) GDPR) and can be declined. Fraud prevention, moderation and dispute handling rely on our legitimate interests (Art. 6(1)(f) GDPR).
Retention. Lesson bookings, homework and progress data are retained for as long as the Coach–Student relationship exists and for up to 24 months afterwards for dispute and accounting purposes. Lesson recordings are retained according to the retention policy of your plan (Free: not stored; Premium School and Premium All: 30 days; Premium All Max: 90 days plus up to 10 pinned recordings); recordings that are not pinned are deleted automatically once the retention window expires, and pinned recordings (limited in number for eligible plans) are kept until you unpin or delete them, subject to a 60-day grace period after a plan downgrade or expiry. Teaching materials are retained until the Coach deletes them or closes the Coach role.
Payments for lessons and workshops. Published prices are optional and informational. Payment arrangements are made directly between the Coach and Student or guardian, outside SingArena. SingArena does not process these payments or collect payment credentials, transaction identifiers, refund records or payout details for them. Any external payment service handles personal data under its own privacy policy.
Resigning from a role. You may resign from the Coach or Student role at any time from within the module. Resigning deactivates the role and hides the related public profile; it does not delete your SingArena account, which is deleted separately (see Section 7).
14f. Guardian Consent and the Guardian Dashboard
Where a user is a minor under the law of their country of residence, certain features (in particular paid lessons, 1:1 lessons with a Coach, and recorded sessions) require verifiable consent from a parent or legal guardian. SingArena uses an "email-plus" consent mechanism. No payment card, micro-charge or Stripe verification is used in this flow.
In connection with guardian consent we collect and process:
- the guardian's email address, supplied by the minor or by the guardian;
- the guardian's declared full name and relationship to the minor, where provided in the consent form;
- a single-use consent invitation token, its creation time and its expiry (7 days);
- the date and time the consent was granted, refused, or withdrawn;
- the IP address and browser user-agent recorded at the moment consent is granted, stored in the consent audit log strictly as evidence that consent was validly obtained;
- the identifier of the minor's account to which the consent relates.
Guardian Dashboard. Once consent is granted, the guardian may access a read-only dashboard at /guardian and /guardian/student/:id. The dashboard displays only the minor's learning activity: upcoming and past lessons, practice history, homework and submissions, progress statistics and lesson recordings that relate to the linked minor. The guardian cannot read the minor's private messages, social content or unrelated account data, and cannot post or act on the minor's behalf. Guardian access is enforced at database level by row-level security tied to the verified guardian link.
Legal basis. Art. 6(1)(c) and Art. 8 GDPR (legal obligation to obtain parental consent for children's services), COPPA for users under 13, and our legitimate interest in retaining proof of consent.
Retention and withdrawal. The consent record (including the IP address and user-agent of the consenting guardian) is retained for the lifetime of the minor's account and for 24 months after its deletion, as evidence of lawful processing. A guardian may withdraw consent at any time from the guardian dashboard or by writing to info@singarena.com. Withdrawal takes effect immediately: the guardian link is removed, guardian dashboard access ends, and the minor loses access to the features that required consent. On request, the guardian's email address is erased from our systems once the consent record no longer needs to be evidenced; the guardian may also request erasure of their own personal data independently of the minor's account.
14g. Squad: Separate Identity, Channels and Events
Squad uses a separate identity from your main SingArena profile. When you first enter Squad you create a Squad identity (display name and avatar) that is stored independently of your SingArena nickname, avatar, first and last name. Inside Squad — including in text channels, voice channels, Stage channels, direct messages and moderation views — other members see only your Squad identity. Your SingArena identity is not shown, not linked, and not derivable by other members. Only the Platform Administration can associate the two identities, and only for security, abuse-handling and legal-compliance purposes.
Internal identity link. To deliver the separate-identity promise we keep an internal record that links your Squad identity to your SingArena account (the same account identifier). This link is never exposed to other members or third parties. It is visible only to the Platform Administration in the administration panel for moderation, abuse-handling, security and legal-compliance purposes (for example, to act on a report or to enforce a ban), and it appears in the copy of your data you receive when you exercise your GDPR right of access or portability (your data export contains both your SingArena profile and your linked Squad identity). Legal basis: legitimate interest (Art. 6(1)(f) GDPR) in operating a safe service and fulfilling data-subject requests (Art. 15 and 20 GDPR).
LiveKit masking. Squad voice, Stage and hangout channels run over LiveKit. Access tokens issued for Squad rooms carry only the anonymised Squad identity, never your SingArena user name or profile data, so your main identity is not exposed to other participants or in room metadata.
In the Squad module we additionally process:
- Channels: text, voice and hangout channel membership, per-channel access restrictions, messages, reactions, polls, forwarded messages, drafts, read receipts (where enabled), scheduled and disappearing messages, and per-conversation chat themes.
- Stage channels: role within a Stage (host, speaker, audience), raise-hand events, speaking permissions and mute state for sessions of up to 50 participants.
- Events and RSVP: events you create or respond to, your RSVP status (going / maybe), and reminder deliveries sent by push notification or email approximately 15 minutes before the event.
- Squad XP and activity: automatically accrued activity points derived from messages sent and time spent in voice channels, used to display member progress inside the Squad.
- Boosts: the fact that you boosted a Squad, limited to one boost per user per week, with a weekly reset.
- Insights: aggregate analytics available only to Squad managers — member growth, message and voice volume, hour-of-day activity heatmap, top channels, event attendance, boosts and milestones. Insights are shown in aggregate form under the Squad identity layer and never expose SingArena identities.
- Invites: invite links and their UTM source parameters, together with click and redemption counts.
- Milestones: membership anniversaries and member-count milestones posted as system messages.
Inactivity pruning. A Squad owner may enable automatic removal of inactive members after a configurable period (14 to 365 days). If enabled, members with no measurable activity in that period are removed from the Squad and may receive a re-engagement notification before or after removal. Owners and moderators are never pruned. Pruning removes your membership and Squad-scoped state; it does not delete your SingArena account and does not affect your main profile.
Retention. Squad messages and channel content are retained while the Squad exists or until deleted by you, a moderator or the owner; disappearing messages are purged automatically on the schedule set for the conversation. Squad identity data is deleted together with your SingArena account.
14h. Duels, Battles and Competitive Integrity
1v1 Duels and Battles are optional competitive karaoke modes. In connection with them we process matchmaking data (mode, category, opponent, timestamps), performance scores computed on our servers, the outcome of each duel, streaks and duel badges, and the daily counters used to enforce session and experience-point limits.
Soundcheck. Before a Duel or Battle you are asked to complete a short microphone soundcheck. The soundcheck analyses your microphone signal locally in your browser or application and derives only a loudness value (RMS). No audio is recorded, transmitted or stored during the soundcheck. The result is cached on your device for approximately 30 minutes so that the check is not repeated for every match.
Fair play and anti-fraud. Scores, session limits, experience points and rewards are calculated exclusively on our servers and cannot be set or altered by the client application. We apply daily caps on karaoke sessions and on experience points, and we analyse activity patterns (for example repeated identical submissions, abnormal submission velocity, or multiple accounts operated from the same device) to detect manipulation of leaderboards and rewards. Detected manipulation may lead to score invalidation, loss of rewards, and enforcement action under the Terms of Service. This processing is based on our legitimate interest in maintaining a fair competitive environment.
14j. Mobile Advertising: AdMob and App Tracking Transparency (iOS)
In our mobile applications, advertisements shown to users on the Free Plan are served by Google AdMob (banner, interstitial and rewarded formats). AdMob may collect an advertising identifier, coarse device and app information, and ad interaction events, in accordance with the Google Privacy Policy. Advertisements are never shown during karaoke performances, audio playback or YouTube playback.
iOS App Tracking Transparency. On iOS, before any data is used to track you across apps and websites owned by other companies for advertising or measurement purposes, the application presents Apple's App Tracking Transparency (ATT) prompt and requests your permission. If you decline, the identifier for advertisers (IDFA) is not accessed and no cross-app tracking takes place; you will still see advertisements, but they will be non-personalised. You can change this choice at any time in iOS Settings → Privacy & Security → Tracking. On Android, an equivalent choice is offered through your Google advertising settings and, in applicable regions, through our consent management prompt.
We do not sell personal data. For California residents, the sharing of advertising identifiers with advertising partners may qualify as "sharing" for cross-context behavioural advertising under the CPRA; you may opt out as described in Section 8 or by declining the ATT prompt.
14k. Recent Privacy Updates (August 28, 2026)
- School module. The education module was renamed from "Coach" to "School" and extended beyond music to languages, academic subjects, arts and life skills; the same data practices apply to every subject. Section 14e covers lessons over LiveKit, lesson recordings and their retention, teaching materials, workshops, lesson payments and role resignation.
- Guardian consent. Added Section 14f describing the email-plus consent flow, the guardian data collected (including IP address and user-agent in the consent log), the read-only guardian dashboard, retention and withdrawal.
- Squad. Added Section 14g explaining the separate Squad identity and LiveKit masking, Stage channels, events and RSVP, boosts, XP, manager insights, invite tracking and inactivity pruning.
- Duels and Battles. Added Section 14h covering the non-recording soundcheck, server-side scoring, daily caps and anti-manipulation analysis.
- Mobile advertising. Added Section 14j covering AdMob and Apple's App Tracking Transparency prompt on iOS.
- Date update. The Last Updated and Effective Date have been refreshed to reflect the items above.
14l. Recent Privacy Updates (October 2026)
- Infrastructure migration. The Platform moved from Lovable Cloud (Supabase, EU region in Ireland) to its own Supabase project hosted on Amazon Web Services in the United States (us-east-1, Northern Virginia). Accounts (including hashed passwords), profiles and content were transferred to the new infrastructure; signed-in sessions were reset. The website is now served from Cloudflare Pages. Transfers to the United States rely on the safeguards described in Section 10.
- AI providers. The Lovable AI gateway and Google Gemini are no longer used. Image moderation is performed by OpenAI, image generation by Runware (without a Gemini fallback), vocal separation by Replicate, and text features by DeepSeek. Karaoke scoring runs on our own servers.
- Sign-in. Sign in with Apple and Sign in with Google now connect directly to our own authentication service (Supabase Auth), without a third-party sign-in broker.
- Service provider list. Sections 6, 10 and 14a.3 now also name Supabase, Cloudflare Pages and Workers, LiveKit, PostHog, Google Analytics 4, Google Safe Browsing, Apple, OpenAI and the IP-based location services ipwho.is and ipapi.co.
- Analytics consent and recordings. Google Analytics 4 now starts only after you accept analytics cookies, like PostHog. Sentry no longer records sessions or screens, including when an error occurs; it sends error reports only. PostHog session recordings mask all input fields and sensitive text (passwords, e-mail addresses, chat messages, voice recordings). Section 14 explains this in plain language.
- Date update. The Last Updated and Effective Date have been set to October 21, 2026.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on the Platform and updating the "Last Updated" date. Your continued use of the Platform after the posting of changes constitutes your acceptance of such changes. We encourage you to review this Privacy Policy periodically.
